Access for approved organizations

Approved Owners can use ChatGPT and Claude Code to read MyInvy data. Your organization and connection must be enabled by MyInvy before following this guide. Public self-service access is coming soon. AI write operations are unavailable.

Prerequisites

  • Your organization and connection must be enabled by MyInvy. Approved Owners can read their MyInvy data through ChatGPT and Claude Code. Public self-service access is unavailable.
  • You must be an active Owner with the required read permission, organization/location access, and any applicable plan entitlement.
  • Nine read tools are available in the restricted rollout. Reading Shopping List details requires an existing list that you can access. Claude web is not qualified for this rollout.
  • The six proposed preview/apply tools for creating Shopping Lists, updating Par, and changing on-hand quantities are unimplemented and unavailable, even if a provider can display a confirmation form.

Setup steps

  1. Check your organization and location context

Ask “Which MyInvy locations can I access?” with inventory-read permission. Confirm the organization and location before relying on business results. Use the approved production connection.

  2. Ask about stock and an observation period

Example: “Show paper cups at Downtown, when they were last counted, and consumption over the last 30 days.” Check the item, units, dates, and missing-data warnings. Unknown usage is not zero usage. Request remaining pages when a result is incomplete.

  3. Review supplier stock facts

Example: “Show Downtown items supplied by the supplier I select, including stock and purchase units.” Clarify an ambiguous supplier before continuing. Use the returned facts to plan your next steps in MyInvy; the read does not create a Shopping List or choose purchases for you.

  4. Inspect an existing Shopping List

Example: “Show my existing Shopping Lists for Downtown, then open the list I choose.” Review the recorded items, quantities, units, and notes. Creating or editing a list remains a separate action in MyInvy.

  5. Check count schedules and data coverage

Ask which count schedules apply today at a named location, or ask for consumption with an explanation of any gaps in count coverage. These reads do not start, submit, or complete a count.

  6. Manage data sharing and access

Your chosen AI provider receives data needed for authorized requests under its policies. Revoke the MyInvy grant through Connected Apps when access is no longer needed. Refresh is blocked immediately; existing access may last until expiry, at most ten minutes. Previously shared data is not erased.

Supported read functions

The read functions below are implemented for the restricted rollout. Access depends on your role, location access, permissions, plan, and approved AI connection.

Read functions for approved Owners
FunctionPermissionWhat it does
Locations, suppliers, and inventoryRead inventoryget_my_context, search_suppliers, search_inventory_items, and get_inventory_item find accessible locations, resolve suppliers/items, and inspect recorded units, quantities, Par, and reorder points.
Replenishment contextRead inventoryget_replenishment_context returns supplier-linked stock facts for a location, including eligible items above reorder point. You and your assistant choose what to buy and how much.
Consumption historyRead inventoryget_consumption_summary returns calculated consumption with its observation period and coverage. The default period is 90 days, with a maximum of 366. Incomplete history may make a result unavailable.
Count schedules and last countsRead inventoryget_count_context reads schedules, eligible items, and last-count facts for a local date. It does not start or complete a count session.
Existing Shopping ListsRead Shopping Listslist_shopping_lists and get_shopping_list find accessible lists and read their lines and notes. These reads require the applicable replenishment entitlement.

Expected result

A verified read returns authorized recorded facts with the organization, location, units, observation period, and data-quality context needed to assess the answer. AI Connections does not save a new list, update Par, or change stock in this rollout.

Troubleshooting Tips

  • Unavailable writes: creating Shopping Lists, updating Par, changing on-hand quantities, and all associated preview/confirmation tools are not implemented.
  • Supplier checkout, payment, order submission, transfers, autonomous changes, item/supplier creation, and changing reorder points are outside this feature.
  • Count context is read-only. Existing Shopping Lists cannot be edited, deleted, assigned, fulfilled, received, or have their status changed through these tools.
  • Ambiguous item, supplier, location, stocking area, or unit: clarify the intended match before continuing.
  • Missing consumption or incomplete count coverage: inspect the observation period and history. Do not interpret unavailable data as no consumption.
